We take all precautions to ensure that your data is treated securely and in accordance with this privacy policy and no transfer of your personal data will take place to an organization or a country unless there are adequate controls in place including the security of your data and other personal information.\n<h6><strong>Employees<\/strong><\/h6>\nEcoffee Cup is the data controller for the information you provide during the employment and application process unless otherwise stated. If you have any queries about the process or how we handle your information, please contact us.\n<h6><strong>What will we do with the information you provide to us?<\/strong><\/h6>\nAll of the information you provide during the process will only be used for the purpose of progressing your application, or to fulfill legal or regulatory requirements if necessary.\n\nWe will not share any of the information you provide during the recruitment process with any third parties for marketing purposes or store any of your information outside of the European Economic Area. The information you provide will be held securely by us and\/or our data processors whether the information is in electronic or physical format.\n\nWe will use the contact details you provide to us to contact you to progress your application. We will use the other information you provide to assess your suitability for the role you have applied for.\n<h6><strong>Speculative Applications<\/strong><\/h6>\nWe sometimes receive speculative applications. When these are received electronically, if there is no suitable vacancy at that time, we keep them in our system for no more than 24 months at which point we will securely destroy the application.\n<h6><strong>What information do we ask for, and why?<\/strong><\/h6>\nWe do not collect more information than we need to fulfill our stated purposes and will not retain it for longer than is necessary.\n\nThe information we ask for is used to assess your suitability for employment. You don\u2019t have to provide what we ask for but it might affect your application if you do not.\n<h6><strong>Advertised positions<\/strong><\/h6>\nWe ask you to send us a current CV and a covering letter which will include your personal details including name and contact details, as well as your previous experience, education, referees and any other information relevant to the role you have applied for.\n<h6><strong>Shortlisting<\/strong><\/h6>\nThe relevant head of department will shortlist applications for interview. They will receive all information supplied at that time.\n\nYou may be required to provide:\n<ul>\n \t<li>Proof of your identity \u2013 you will be asked to attend our office with original documents, we will take copies.<\/li>\n \t<li>Proof of your qualifications \u2013 you may be asked to attend our office with original documents, we will take copies.<\/li>\n \t<li>You may be asked to complete a criminal records declaration to declare any unspent convictions.<\/li>\n \t<li>We may contact your referees, using the details you provide in your application, directly to obtain references.<\/li>\n \t<li>We may ask you to complete a questionnaire about your health. This is to establish your fitness to work as well as for your well-being whilst on our premises.<\/li>\n \t<li>If we make a final offer, we will also ask you for the following:\n<ul>\n \t<li>Bank details \u2013 to process salary payments.<\/li>\n \t<li>Emergency contact details \u2013 so we know who to contact in case you have an emergency at work.<\/li>\n \t<li>Information for your inclusion in our pension scheme. We use a third party for this scheme.<\/li>\n \t<li>Information for your optional inclusion in our private healthcare scheme, where you fit the eligibility criteria. We use a third party for this scheme.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\nIf you are unsuccessful following assessment for the position you have applied for, we may ask if you would like your details to be retained in our talent pool for a period of 24 months. If you say yes, we would proactively contact you should any further suitable vacancies arise.\n\nWe will process this data because the processing is necessary for the performance of our mutually agreed contract.\n\nIn relation to the <strong>special category data<\/strong> we hold about you we will process this in accordance with Article 9(2)(b) of the GDPR, i.e. that the processing is necessary for the purposes of carrying out the obligations and exercising specific rights of Ecoffee Cup or of the data subject in the field of employment and social security and social protection law in so far as it is authorized by Union or Member State law or a collective agreement pursuant to Member State law providing for appropriate safeguards for the fundamental rights and the interests of the data subject.\n<h6><strong>Where employment information is kept<\/strong><\/h6>\nHR data is kept securely in electronic and hard copy files and accessed only by members of the senior management team.\n<h6><strong>How long is the information retained for?<\/strong><\/h6>\nIf you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment\/engagement plus 6 years following the end of your employment\/engagement. This includes your criminal records declaration, fitness to work, records of any security checks and references.\n\nInformation generated throughout the assessment process, for example interview notes, is retained by us for 6 months following the closure of the campaign.\n<h6><strong>Use of data processors<\/strong><\/h6>\nData processors are third parties who necessarily provide elements of our internal practices. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organization apart from us. They will hold it securely and retain it for the period we instruct.\n<h6><strong>Use of other third parties<\/strong><\/h6>\nSome third parties with whom we share your data are data controllers in their own right in which case they will have their own retention periods.\n\nWe have contracts with all third parties to ensure the security of your data that we share with them.\n<h6><strong>Using our website<\/strong><\/h6>\n<h6><strong>Usage Data<\/strong><\/h6>\nWe may collect information how the Service is accessed and used (\u201cUsage Data\u201d).
